Step-by-Step Walkthrough

1

Create Your Event

Sign in to the Scramble Portal and click "Create Event."

• Event name — e.g., "Spring Scramble 2026"
• Date — when the tournament takes place
• Course — search by name; par and hole count auto-fill from our database
• Team size — 2, 3, or 4 players per team
• Number of teams — you can always add more later
• Mulligans — 0, 1, 2, or 3 per team (optional)
Payment: After creating your event, you'll be redirected to complete a one-time $25 payment. This unlocks all Game Day features (creating games, sending codes, starting/ending rounds, and emailing results).
2

Open Registration

Go to Settings and change the event status to "Registration Open."

Copy the registration link from the top of your event page and share it with players. They can register from any device — no app needed.

• Players enter their name, email, and phone number
• They can request a group size (solo, pair, trio, or foursome)
• Registrations appear in real-time on your event page
3

Invite Players (Optional)

Use the Invite tab to email invitations directly from the portal.

• Past participants — load players from your previous events with one click
• Manual add — enter name and email for new contacts
• Select recipients, hit "Send Invitations" — they get a branded email with a link to register
4

Build Teams

On the Teams tab, organize registered players into teams.

• Fill Teams — auto-assigns unassigned players to teams with open slots
• Add Team — create additional teams if needed
• Move players between teams on the Players tab using the team dropdown
• Each team card shows member count vs. capacity (e.g., 3/4)
Tip: Players who registered as a group will already be together. Use "Fill Teams" to place remaining solo players.
5

Add Co-Admins (Optional)

Need help managing the event? Go to the Admins tab and add co-admins by email.

• Co-admins get full management access to the event
• They'll see the event on their Scramble Portal dashboard
• Only the event owner can add or remove co-admins
6

Set Up Handicaps (Optional)

In Settings, choose a handicap method to level the playing field.

• None — gross scores only (most common for casual scrambles)
• USGA Recommended — uses individual handicap indexes (players must provide theirs at registration)
• Peoria System — handicap calculated from 6 secret holes after the round (great for events where not everyone has a handicap)
• System 36 — simplified handicap based on actual round performance
7

Game Day: Create Games

When you're ready for game day, go to Settings > Game Day Actions and click "Create Games for All Teams."

• This creates a game in the Scramble Caddie app for each team
• Each team gets a unique 4-character game code (shown on their team card)
• Players use this code to join their team's game in the app
8

Game Day: Send Game Codes

Click "Send Game Codes via SMS" to text each player their team name and game code.

• Players receive a text like: "Your team: Eagle Squad. Game code: A7K2"
• They open the app, tap "Join Game", and enter the code
• You can also announce codes at the event or print them on cart signs
Tip: Send a link to the How It Works page along with the code so players know what to expect.
9

Game Day: Start All Games

When the round begins, click "Start All Games." This activates scoring for every team.

• Players can now enter scores hole-by-hole in the app
• One person per team scores — but any teammate can take over at any time
• Scores sync to the live leaderboard in real-time
10

Game Day: Monitor the Leaderboard

Click the "View Leaderboard" link on your event page to open the live leaderboard.

• Full scorecard view with all teams and hole-by-hole scores
• Standings cards at the top show positions at a glance
• Auto-refreshes every 10 seconds — no manual refresh needed
• Share the leaderboard URL — it's public, no sign-in required
Pro tip: Put the leaderboard on a TV or monitor at the clubhouse. It works great on any screen size.
11

Wrap Up: End All Games

Once all teams have finished, click "End All Games" to finalize scores and lock the leaderboard.

• Marks all games as completed
• Leaderboard shows final standings
• Players can no longer edit scores
12

Wrap Up: Email Results

Click "Email Results to All Players" to send a branded scorecard email to every registered player.

• Includes final leaderboard with positions and scores
• Top 3 teams highlighted with medals
• Link to view the full leaderboard online
• Great keepsake for players — and built-in marketing for your next event

Tips for a Smooth Event

Send the "How It Works" page to players

Share scramblecaddie.app/how-it-works.html so players know how to download the app, join their team, and score. Send it a day or two before the event.

Have players download the app before game day

The biggest delay on game day is players downloading and signing in. Encourage them to set up their account the night before.

Designate one scorer per team

While any teammate can score, it's smoothest when one person is the designated scorer. They can hand off mid-round if needed.

Use the leaderboard on a big screen

The leaderboard is designed to look great on TVs and monitors. Set one up in the clubhouse or at the 19th hole for live updates as teams come in.

Close registration before creating games

Make sure all players are registered and assigned to teams before you create games. You can still add players manually on the Players tab if someone shows up last-minute.

Common Questions

Can I edit teams after creating games?

You can move players between teams on the Players tab, but each game is already linked to a team. For major changes, it's best to adjust teams before creating games.

What if a player doesn't have a smartphone?

No problem. Only one person per team needs the app to score. The rest of the team can play normally.

How much does it cost?

It's a flat $25 per event, regardless of team count. Players download and use the app for free. No per-player charges.

Can multiple people manage the event?

Yes. Add co-admins on the Admins tab by email. They'll have full access to manage teams, send codes, monitor the leaderboard, and email results.

Do players need to create an account?

Players need to sign in to the app (Google or Apple sign-in, takes 10 seconds). Registration on the website does not require an account.

Can I run a 9-hole scramble?

Yes. When creating your event, select a 9-hole course or adjust the hole count in settings. Everything adapts automatically.
